Hand over orders with pickup codes

Every reservation email carries a pickup code. On pickup day, scan it with your phone: the order comes up, and one tap marks it picked up.

From the email to the counter

What your customer gets when they reserve, and what you do when they come to collect.

  1. Step 1 of 6

Every reservation email carries a pickup code, with the reservation’s number under it.

Step 1 of 6

  1. A code in every reservation email

Customers get their pickup code in the email when they reserve, and again in the confirmation. Under the code is the reservation’s number, the eight letters and numbers your orders show, like #7F3A9C21. Add a reservation yourself with “New order”, save it as “Confirmed”, and your customer gets the code too, if they have an email.

  2. Open the scanner

On pickup day, the “Pickup today” card on “Home” has a “Scan pickup codes” button. On a phone, “Orders” shows it beside the + until everyone has collected, and “Menu” always has it. The search finds it too: ⌘K or Ctrl K. On an Android phone with the studio on its home screen, a long press on the studio’s icon offers it as well.

  3. Scan at the counter

The first time, tap “Turn on the camera” and allow it. Ask the customer to hold up their code, and point your phone at it: their order comes up, with what they reserved, their notes and the total. Tap “Mark picked up”, and the scanner is ready for the next customer two seconds later.

  4. What the scanner tells you

Before you hand anything over, the scanner says what it knows. “Already picked up”, in red, with when: nothing goes out twice, even if another phone marked the order picked up a moment before. “This order is cancelled”: there’s nothing to hand over. “Not today’s pickup” or “Not confirmed yet”, in amber: it can still go out. “Not one of your orders”: the code belongs to another shop.

  5. No code? Type the number

A customer without their email can tell you their name: find them in the pickup list or in “Orders”. If they have the number, tap “Type a number” and type the eight letters and numbers under the code. The scanner works on a laptop too, but a laptop’s own camera struggles to read codes: a phone or an external camera reads them better.

  6. With your phone’s own camera

Your phone’s Camera app reads the code too: point it at the code and tap the link it shows. The order opens in the scanner, in your phone’s browser. If you’re not signed in there, sign in once and you land on the order.

  7. The camera and your battery

The camera is on only while the scanner is open, and nothing is recorded or kept. After three minutes without a scan, it pauses to save your battery: tap “Resume scanning” to start again. If your browser blocks the camera, “The camera is blocked” shows how to allow it. An iPhone may ask again from time to time: tap Allow.
